Written on paper, then typed twice

Monday morning. Some of last week's timesheets are still in drivers' cabs, one has no signature, and the hours on another don't match what the site says. The invoices wait until it's sorted, and so does the pay.

One record, from the job to the invoice and the pay

Nobody types the same hours twice. The signed shift is the timesheet, and the timesheet feeds billing and pay.

  1. Plan the job

    Put tomorrow's jobs on the day grid and publish them. Each driver sees the site, the start time and the notes on their phone.

  2. The driver works and the site signs

    The driver taps start and finish. The site manager checks the times and signs on the driver's phone. With no signal, it saves and sends later.

  3. Invoices and pay go out

    Once a week, approved hours become invoices in your Xero and the right pay document for each driver.

The site manager signs on one screen

When the shift ends, the driver hands over the phone. The screen shows that shift and nothing else: the site, the date, the start, the break and the finish. The site manager picks their name from the list, or types it, and signs with a finger.

  • No account and no app to install for the site manager.
  • The rest of the app stays closed until the driver enters their PIN.
  • Signed shifts can be approved straight away, or checked by your office first.
  • Hours are worked out by each site's rules: breaks, rounding, minimum hours and overtime.

What's in the first release

In the office

  • A day grid for tomorrow's jobs. Copy yesterday or a saved week, then publish now or at a set time, such as 18:00.
  • A warning when a driver or vehicle is booked twice at the same time.
  • Today at a glance: who's working, who hasn't checked in and which shifts still need a signature.
  • Timesheets by site and by driver, from the same signed records. A correction needs a reason, and the original stays in the log.
  • Hours rules for each site: rounding, breaks, minimum hours, overtime and nights.
  • Your own document types, with expiry warnings to the driver and the office. If you choose, a driver with an expired document can't be booked.
  • Messages to one driver or a group, and who has read them.
  • Every list exports to Excel and CSV. Every change to times, documents and rates is logged.

On the driver's phone

  • Today's and tomorrow's job, with the address and a maps link.
  • Start, breaks and finish in a few taps. Loads have their stops in order, with photos and a signature at each one.
  • One tap to say they're running late, have arrived or have a problem on site.
  • Works with poor signal: taps are saved on the phone and sent when the signal comes back.
  • Their documents and expiry dates, and new ones uploaded with the camera.

Who it's for

Driver agencies

You supply van and HGV drivers to your customers' sites by the hour or the day. You bill the site and pay the driver for the same shift, so you need proof that the shift happened and when.

Small hauliers

You run your own trucks and bring in subcontract drivers when the work comes in. Jobs, signed proof of delivery and drivers' documents sit in one place. Self-bills for sub-hauliers come after the first release.

Doing both? Shifts at a site, loads with stops and day-rate jobs all work in the same account.

Questions

Is TrueSheet live yet?

Not yet. It's being built now. The first release covers planning, the driver app with site signatures, timesheets, documents and messages. Invoices to Xero and driver pay come after it.

Does the site manager need an account?

No. They sign on the driver's phone, on a screen that shows that one shift, and pick or type their name.

What happens when there's no signal?

Taps are saved on the phone and sent when the signal comes back. The driver can see that a tap is saved and waiting to send.

Does it work with Xero?

Not in the first release. The weekly billing run that creates invoices in your Xero comes after it. Until then, every list exports to Excel and CSV.

How much will it cost?

Prices aren't set yet. The plan is a price per user plus a one-time setup fee, with the amounts decided before launch.

Which phones does the driver app work on?

It starts as a web app installed from a link, so drivers don't need an app store. App Store and Google Play versions come later.

Can drivers use it in their own language?

English comes first. Polish, Romanian, Hungarian, Bulgarian and other languages come after the first release.
